This Privacy Policy explains how Tapes To Digital ("we", "us", "our") collects, uses and protects your personal data when you use our website and services in the United Kingdom, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).

1. Who We Are

2. Information We Collect

  • Contact details: your name, email address, phone number and address when you fill in a form, message us, book or place an order.
  • Order details: the media you send us, the services you choose, order value and delivery details.
  • Payment information: handled securely by our payment processor. We do not store full card numbers.
  • Messages: emails, calls, SMS and WhatsApp messages you exchange with us.
  • Website usage data: your IP address, browser and device type, pages visited and how you arrived at our site, collected through cookies and similar technologies where you allow them.
  • Your choices: your marketing and advertising preferences, including any consent you give or withdraw.

3. How We Use Your Information and Our Legal Basis

  • To fulfil your order (converting your media, delivering files, returning originals): contract.
  • To send order and service messages by email, SMS or WhatsApp: contract.
  • To answer enquiries before you order: legitimate interests (responding to people who contact us).
  • To send marketing emails or messages: consent. You can opt out at any time.
  • Website analytics and advertising cookies: consent, given through our cookie banner.
  • To measure our advertising by sharing your hashed email and phone number with Google and Meta after you order (see section 4): consent, given by ticking the box on our forms.
  • To keep accounting and tax records: legal obligation.
  • To protect our business and handle disputes or legal claims: legitimate interests.

4. Advertising and Measuring Our Ads

We advertise on Google and Meta (Facebook and Instagram). To understand which ads bring us customers, and to stop paying for ads that don't work, we share limited information with these platforms, but only with your permission:

  • On our website: if you accept advertising cookies in our cookie banner, Google and Meta tags record that you arrived from an ad and what you did on our site, such as starting a booking or tapping to call or WhatsApp us.
  • After you place an order: if you ticked the box on our form agreeing to this, we send Google (and, where used, Meta) your email address and phone number in hashed form (scrambled into a code that can't be read back), plus your order date and value and, if you clicked one of our ads, the ad click ID. The platform matches this only against its own users so it can tell us whether an ad led to your order. We do not send your name, address, media details or files.
  • If you did not tick the box, we tell Google that you have not consented, and it does not use your details for this purpose.

Withdrawing your consent: you can change your mind at any time. Email contact@tapestodigital.co.uk or message us on WhatsApp at +44 7361 588591 and say you no longer want your details shared for advertising. We will update your record so future orders are not shared, normally within 5 working days. You can also change your cookie choices at any time through your browser or our cookie banner. Withdrawing consent does not affect your order or any sharing that happened before you withdrew it.

5. Who We Share Your Information With

  • Service providers who help us run our business: payment processors, delivery and courier companies, IT and hosting providers, our customer relationship system (HubSpot), our automation tools, messaging providers (WhatsApp and our SMS provider) and website analytics tools (Google Analytics, Microsoft Clarity and Contentsquare).
  • Advertising platforms (Google and Meta), only as described in section 4.
  • Our drop-off partners, only the details needed to receive and return your media.
  • Authorities or advisers where the law requires it or to protect our legal rights.
  • A buyer of our business, if the business is sold or merged.

We do not sell your personal data.

6. International Transfers

Some of our providers, including Google, Meta and HubSpot, process data outside the UK, including in the United States. Where this happens, we rely on the safeguards recognised under UK law, such as UK adequacy regulations (including the UK–US data bridge) or the International Data Transfer Agreement / UK Addendum to the EU standard contractual clauses.

7. How Long We Keep Your Information

We keep your personal data only for as long as we need it for the purposes above. Order and accounting records are kept for as long as UK tax law requires (usually six years). Marketing and advertising preferences are kept for as long as they apply, plus a record of any opt-out so we can respect it.

8. Your Rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased in certain circumstances;
  • restrict or object to how we use your data, including objecting to direct marketing at any time;
  • withdraw any consent you have given, at any time;
  • receive a copy of data you gave us in a portable format.

If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

9. Cookies

We use essential cookies to make our website work, and, only if you accept them, analytics cookies (Google Analytics, Microsoft Clarity, Contentsquare) and advertising cookies (Google Ads, Meta). You can change your choices at any time through our cookie banner or your browser settings.

10. Security

We use appropriate technical and organisational measures to protect your personal data. No method of transmission over the internet or electronic storage is completely secure.

11. Children

Our services are not intended for anyone under 16, and we do not knowingly collect their personal data.

We may update this policy from time to time. The "Last Updated" date at the top shows when it last changed.
